HOUSEKEEPING 

Best Practice

This practice will ensure effective application of housekeeping services, whether supplied by University Facilities staff or by contracted staff.  This practice defines a housekeeping scope of services, interior appearance standards, and an inspection process.

Program Scope

 This program applies to all housekeeping services throughout the University.  The program mandates documented monthly visual inspection of building interiors.

Responsibilities

FACILITIES DEPARTMENT

       -- Develop, issue, review and award the annual RFP for “Housekeeping Services”.

       -- Monitor internal and contractor adherence to the provisions of the RFP

       -- Perform a monthly inspection of building interior spaces.  A representative of the contract cleaning company will accompany the
              Facility Director in this inspection.

       -- Ensure all areas of the building are cleaned using a current and approved cleaning schedule.

 Process

        -- By mid February of each year, Facilities will issue bids for housekeeping contracts for the coming fiscal year (July 1 through June
              30).

        -- Provided housekeeping services are detailed in the “Scope of Services” (attached).

 CLASSROOM/LIBRARY STANDARDS:

Campus classroom standards shall be employed to ensure that all Davenport University classrooms provide consistent learning environments and create uniformity for branding and image. 

Cleaning of all University classrooms will be scheduled according to the following matrix:

o     The area presents a good first impression upon entering.

o   Floors and base moldings shine and/or are bright and clean.  There is no buildup in corners or along walls.

o   Carpeting is clean and free of spots and stains.

o   All vertical and horizontal surfaces are dusted and clean.

o   Trash containers, recycle containers and pencil sharpeners are empty, clean, and odor-free.

o   Interior windows and glass are clean and free of streaks.

 OFFICE STANDARDS:

Campus office standards shall be employed to ensure that all Davenport University offices provide a consistent work environment.

Cleaning of all University offices will be scheduled according to the following matrix:

o   The area presents a good first impression upon entering.

o   Floors and base moldings shine and/or are bright and clean.  There is no buildup in corners or along walls.

o   Carpeting is clean and free of spots and stains.

o   All vertical and horizontal surfaces are dusted and clean.

o   Trash containers, recycle containers and pencil sharpeners are empty, clean, and odor-free.

o   Interior windows and glass are clean and free of streaks.

COMMON AREAS (break rooms, meeting halls, public use areas):

Campus common area standards shall be employed to ensure that all Davenport University common areas provide consistent and welcoming environments for all building users.

Cleaning of all University common areas will be scheduled according to the following matrix:

o   The area presents a good first impression upon entering.

o   Floors and base moldings shine and/or are bright and clean.  There is no buildup in corners or along walls.

o   Carpeting is clean and free of spots and stains.

o   Track off mats are clean, free of spots and stains, and are in presentable condition.

o   All vertical and horizontal surfaces are dusted and clean.

o   Washroom and shower tile and fixtures gleam and are odor-free.  Supplies are adequate.

o   Trash containers, recycle containers and pencil sharpeners are empty, clean, and odor-free.

o   Interior windows and glass are clean and free of streaks.

o   Drinking fountains are clean

o   Vending machines surfaces are dusted and clean.

RESTROOMS:

Cleaning of all University common areas will be scheduled according to the following matrix:

o   The area presents a good first impression upon entering.  No obnoxious odors are detected.

o   Floors and base moldings shine and/or are bright and clean.  There is no buildup in corners or along walls.  The base of toilets is clean and free of dirt and buildup.

o   All fixtures are clean and free of stains.

o   All vertical and horizontal surfaces are dusted and clean.

o   Dispensers are filled with adequate supplies

o   Trash containers are empty, clean, and odor-free.

o   Mirrors are clean and free of streaks.

o   Toilet and urinal partitions are clean and free from corrosion

o   Exhaust fan vents are dusted
